Understanding Your Course Area
The Courses area is where you manage all training content in Ving. From this section, you can create courses, upload training materials, schedule assignments, and track employee progress.
Follow the steps below to learn how to use the course area.
Step 1: Navigate to the course library
Click the Course icon in the top navigation bar to open your course library.
This is where all of your courses are stored and managed.
Step 2: Create a new course
Click the Create button to build your own course.
When creating a course, you will first choose where the certificate will come from:

Course – Ving will automatically generate a certificate when the course is completed online or in person.

Requirement – Use this option when a third party provides the training and your employee or admin will upload the certificate.
Next, enter a course title and summary so employees understand the purpose of the training.
Step 3: Choose the course access settings
You can control who can view your course using the View Access settings.

Anyone – Does not require a login. This is useful when sharing training with customers or subcontractors using a link or QR code.

Verified – The most common setting. This ensures accurate analytics regardless of how the course is accessed.

Assigned – Only employees who are assigned the course can view it, and they must log in with the assigned email or phone number.
Once your settings are complete, click Save.
Step 4: Add course content
After saving your course, you can begin adding training content.
You can upload or create:

Files, PDFs, videos, images, or audio
-
Custom tests or question sets
-
Recorded audio
-
Links and text
If you selected Requirement, you will also create a section where employees can upload their certificate.
When you are finished adding content, click the Publish button.
Step 5: Organize your courses
You can select one or multiple courses in your library to manage them in bulk.
Once selected, additional tools will appear in the task bar:

Bulk Export – Export course data to a spreadsheet for OSHA or insurance reporting

Labels – Add tags such as language, topic, or year to organize courses

Owner – Assign the person responsible for maintaining the course

Archive – Remove courses that are no longer needed
Step 6: Schedule courses for employees
To assign training, select one or more courses and click Schedule.
You can then choose how employees are notified:

Email notification
-
Text message notification
-
No notification (commonly used when assigning large batches of training for onboarding or in-person training)
Next, select who should receive the training by entering their name, email, phone number, or label.
You can also include a custom message to explain the importance of the training.
Step 7: Set recurring training schedules
Ving allows you to automatically assign training on a recurring schedule.
Using the Quick Scheduler, you can set courses to repeat daily, weekly, or monthly. Simply choose the frequency, start date, and time, then click Apply.
You can also manually set custom dates and times if needed.
When everything is ready, click Schedule.
Step 8: Use sharing options
Each course has several ways it can be shared.
Under Share, you can:

Assign the course directly to employees

Copy a short URL to share the course link

Download a QR code that employees can scan
QR codes can be printed and posted in break rooms, job sites, or training areas for easy access.
Step 9: Edit or reuse courses
Under Recreate, you can reuse or modify existing courses.

Copy – Duplicate the course to reuse it for future training

Revise – Edit the course or add your own content

Preview – Review the course before sending it to employees
Preview mode allows you to view the course without affecting analytics.
Step 10: Adjust course settings
Each course includes several customization settings:

Active – Controls whether the course can be viewed

Notifications – Sends alerts to contact owners about inactivity

Required – Marks the course as required and affects homepage engagement colors

Due Date – Sets how many days employees have to complete the training
-
Expires In – Determines when employees must repeat the training
These settings help you manage compliance and keep employees on track.
Step 11: View analytics and manage completions
The course page also provides detailed analytics for each training assignment.
From this section you can:

View employee progress
-
Assign or unassign training
-
Mark training complete for in-person sessions

Download completion certificates
Certificates are automatically generated for completed courses and can be downloaded individually or included in exports.
Admin and Manager Access
Admins have full access to all courses and settings in Ving.
Managers can edit and manage the courses they own. If additional access is needed, please contact your system administrator.
